Call recording is the cheapest insurance a business phone line can have. For ৳99 a month, every call on your number is kept for 90 days, searchable by extension, number, and date, and playable from a browser. This guide covers what recording is actually used for day to day, what it costs, how to announce it to callers, and how to get value from the recordings instead of just storing them.
What businesses in Bangladesh use recordings for
We asked customers who had cloud call recording switched on what they actually open the recordings for. Four uses cover nearly all of it:
1. Settling disputes. “You said delivery Tuesday.” “I quoted ৳4,500, not ৳4,000.” “The patient asked for the 10 am slot.” A recording ends the argument in under a minute and, more importantly, ends it fairly. E-commerce shops and courier desks open recordings almost daily for this.
2. Training new staff. The fastest way to teach a new agent how to handle a difficult caller is to play three real calls: one handled well, one handled badly, one in between. Written scripts cannot do this.
3. Quality checks. A manager who listens to five random calls a week knows more about customer service than any report. Branch managers of diagnostic centres and ISPs use this to keep the tone consistent across locations.
4. Not losing details. Addresses, order changes, and phone numbers given during a call. Staff stop asking the customer to repeat, and stop getting it wrong.
Less common but valuable: proving compliance to a corporate client, reviewing a sales call that converted (or did not), and keeping evidence of abusive or threatening calls.
Is call recording legal in Bangladesh?
There is no law in Bangladesh that prohibits a business from recording calls on its own phone line, and there is no explicit consent statute like the two-party rules in some US states. Recording your own business calls for training, quality, and record-keeping is standard practice in banks, telecom operators, and call centres across the country.
That said, two things are expected and sensible:
- Tell callers. A short line in the greeting (“This call may be recorded for quality and training”) is what customers expect to hear, and it protects you if a recording is ever used in a dispute. We add this line to your caller tune at no extra cost.
- Protect the recordings. Recordings contain personal data: names, addresses, sometimes NID numbers or payment details. Limit portal access to people who need it, and download only what you must keep.
If your business operates under sector rules (banks, insurance, licensed financial services), follow your regulator’s retention and consent requirements on top of this.
How to announce recording (scripts)
Keep it to one sentence, after the business name and before the menu.
Bangla:
সেবার মান উন্নয়ন ও প্রশিক্ষণের জন্য এই কলটি রেকর্ড করা হতে পারে।
English:
This call may be recorded for quality and training purposes.
Combined (most common in Dhaka offices):
IPCallBD-এ স্বাগতম। সেবার মান উন্নয়নের জন্য এই কলটি রেকর্ড করা হতে পারে। For order status, press 1…
Put it in the IVR greeting rather than on each extension, so every caller hears it once and agents do not have to say it. Our IVR setup guide has full greeting scripts you can adapt.
What it costs
Recording with IPCallBD is an add-on to any Cloud PBX plan and covers every extension on the plan:
| Plan | Extensions | Recording add-on |
|---|---|---|
| Basic (৳500/month) | 5 | ৳99 / month |
| Pro (৳750/month) | 10 | ৳199 / month |
| Enterprise (৳1,000/month) | 20 | ৳299 / month |
Incoming and outgoing calls are both recorded. Storage is 90 days on our servers in Bangladesh; download anything you want to keep longer. There is no per-minute recording charge and no storage charge. The pricing page shows how it fits into a full monthly bill.
Compare that with recording on a PABX, where you need a recording card or a separate logger box, a PC with storage, and someone to maintain it. The hardware alone runs well into five figures, which is one of the points in our Cloud PBX vs PABX comparison.
How to actually use recordings (a weekly routine)
Storing recordings is easy. Getting value takes a small habit. This routine takes a manager about 30 minutes a week:
- Monday: pull disputes. Search the portal for any number a customer complained from. Listen, decide, reply. Do not let disputes wait more than a day.
- Wednesday: listen to five random calls. Pick one per agent. Note one thing done well and one to improve. Tell the agent the same day, briefly.
- Friday: save the keepers. Download the two or three calls worth keeping past 90 days: a great sales call for training, a dispute you may need later. Name the files by date and purpose.
- Monthly: check the greeting. Make sure the recording announcement is still in the IVR after any menu changes.
The portal lets you filter by extension, caller number, date, and direction, so each of these steps is a search and a click, not a hunt through folders.
Retention: how long should you keep recordings?
| Type of call | Suggested retention |
|---|---|
| Routine enquiries | The default 90 days is enough |
| Orders, quotes, delivery commitments | Download and keep until the order is closed plus 3 months |
| Complaints and disputes | Keep until resolved, then 1 year |
| Training examples | Keep indefinitely, with the customer’s details removed if you share them widely |
| Anything with payment or NID details | Keep only as long as needed, then delete |
The principle: keep what you may need to prove something, delete what you do not. Shorter retention is lower risk.
Who can hear the recordings?
The portal has an admin login. Give it to the owner and to the one or two managers who do quality checks. Agents do not need access to recordings of other agents. If a corporate client or auditor asks for recordings, download the specific calls and share them rather than handing over a login.
FAQ
Does call recording work on mobile phones and the Zoiper app?
Yes. Recording happens on the PBX, not on the device, so every call through your business number is recorded whether the agent is on a desk phone, the Zoiper app, or a forwarded mobile.
Can I record only some extensions?
Yes. Tell us which extensions should be recorded. Most businesses record all customer-facing extensions and leave internal-only ones unrecorded.
How do I find a specific call?
In the portal, filter by date, extension, or the caller’s number. Each call shows duration and direction, with play and download buttons.
Can staff delete recordings?
Only portal admins can manage recordings. Agents cannot delete calls made on their extension.
Do I need to record calls to use the Cloud PBX?
No. Recording is optional. You can add it or remove it at any time without downtime.
